1. Who we are
Marketing Automation Ltd (“Marketing Automation”, “we”, “us” or “our”) is the operating company behind a portfolio of consumer apps, MSP community platforms and travel services.
For the processing described in this policy, Marketing Automation Ltd is generally the data controller unless a service-specific notice states otherwise. Our statutory company details and registered office are shown in the legal footer below.
2. What this policy covers
This policy applies to personal information processed through our corporate website and the brands, products and services operated by Marketing Automation Ltd, including:
Some products or transactions may also have a short, service-specific privacy notice. Where that notice explains a particular processing activity in more detail, it should be read together with this policy.
3. Information we collect
Information you provide
- Identity and contact information such as your name, email address, telephone number, company and postal address.
- Account, profile and support information you submit when creating an account, requesting help, completing a form or corresponding with us.
- Business information submitted through MSP Focus or Global MSP Directory, including organisation details, capabilities, certifications, vendor relationships and listing information.
- Travel enquiry and booking information, which may include dates, preferences, traveller details, passport information where required for travel arrangements, dietary requirements, accessibility needs, emergency contacts and other information necessary to plan or operate a journey.
- Content you choose to submit through an app or service, where the relevant product supports user-generated content or saved preferences.
Information collected automatically
When you use our websites or apps, we may collect technical and usage data such as device type, operating system, app version, browser, IP address, language, approximate location derived from IP, advertising or device identifiers, pages or screens viewed, session duration, interactions, crash information and referring URLs.
Payments and purchases
Payments may be handled by third parties such as Apple, Google, payment processors or travel payment providers. We may receive transaction status, subscription status, purchase identifiers and limited billing information, but we do not necessarily receive or store full payment-card details.
Special category information
Travel planning can occasionally require information concerning health, accessibility or dietary requirements. We only seek this where it is genuinely needed to arrange or safely deliver the requested service, and we apply an appropriate lawful condition for processing.
4. How we use personal information
- Provide, operate and maintain our apps, websites, directories, travel services and other products.
- Create and manage accounts, listings, subscriptions, enquiries and bookings.
- Respond to support requests and communicate important service or transaction information.
- Personalise experiences, remember settings and improve usability.
- Measure usage, diagnose errors, conduct analytics and improve products.
- Protect our services, users and business against abuse, fraud and security threats.
- Process purchases, subscriptions and bookings and maintain appropriate records.
- Send marketing communications where permitted and provide choices to unsubscribe.
- Comply with legal, regulatory, tax, accounting and contractual obligations.
- Create aggregated or de-identified information for analytics, research and service improvement.
5. Our legal bases
Under UK data protection law, we rely on one or more of the following bases depending on the activity:
- Contract: where processing is needed to provide something you requested, manage a purchase, subscription, listing, booking or other agreement.
- Legitimate interests: where reasonably necessary to operate, secure, improve and understand our businesses, support customers and develop relevant services, provided those interests are not overridden by your rights.
- Consent: where you have made a clear choice, including for certain marketing, advertising technologies, permissions or special-category processing.
- Legal obligation: where we must process information to comply with law, tax, accounting, regulatory or law-enforcement requirements.
- Vital interests or other permitted conditions: in limited circumstances where information is needed to protect an individual or safely deliver a travel service.
6. Who we share information with
We do not sell your personal information. We may disclose information to organisations that help us operate our businesses, including:
- Cloud hosting, database, customer-support, email, analytics, security and software providers.
- Apple, Google and other app distribution, subscription, analytics and advertising technology providers used by the relevant app.
- Payment processors and financial service providers.
- MSP directory, technology and business-service providers involved in operating our community platforms.
- For travel: lodges, hotels, guides, destination partners, transport operators, airlines, insurers or other suppliers where disclosure is necessary to plan, book or deliver your journey.
- Professional advisers, insurers, auditors and regulators.
- Law enforcement, courts or public authorities where disclosure is legally required or reasonably necessary to protect rights and safety.
- A buyer, investor or successor organisation in connection with a corporate transaction, subject to appropriate safeguards.
7. International transfers
Our services may involve providers and partners outside the United Kingdom. This is especially relevant to app infrastructure and to travel services delivered in East Africa. Where personal information is transferred internationally, we use an available lawful transfer mechanism and appropriate safeguards where required, such as adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another recognised mechanism.
8. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including to provide services, maintain transaction or travel records, resolve disputes, enforce agreements and meet legal, tax, accounting and regulatory obligations. Retention periods differ by product and category of information. We may retain de-identified or aggregated information where it no longer identifies an individual.
9. Your data protection rights
Depending on the circumstances, UK data protection law gives you rights to request access to your personal information, correction, deletion, restriction, portability and objection to certain processing. Where processing is based on consent, you can withdraw that consent at any time without affecting earlier lawful processing. You may also object to direct marketing at any time.
We may need to verify your identity before fulfilling a request. You also have the right to complain to the UK Information Commissioner’s Office (ICO), although we would welcome the opportunity to address your concern first.
10. Cookies, analytics and mobile SDKs
Our websites may use cookies and similar technologies for necessary functions, preferences, analytics and — where applicable and permitted — advertising or marketing. Our mobile apps may use software development kits (SDKs), device identifiers and similar technologies for functionality, crash reporting, attribution, analytics, push notifications and advertising.
Where consent is required, non-essential technologies should not be activated until you have made a choice. You can also manage many app permissions through your device settings and advertising choices through Apple or Google settings.
11. Children
Our portfolio contains different products for different audiences. Where a particular product is designed for, or made available to, children, any additional age rules, parental controls or child-specific privacy information published with that product will apply. We do not knowingly use children’s personal information for interest-based advertising where prohibited by law or platform rules.
12. Security
We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. No internet, mobile or storage system can be guaranteed completely secure, so we cannot promise absolute security.
13. Contact and changes
Questions or privacy requests can be sent to tim@automate.marketing. Our registered-office details are available in the legal footer below for correspondence that must be sent by post.
We may update this policy when our products, providers or legal obligations change. Where a change is material, we will take reasonable steps to bring it to your attention.
